Best Practices for Protecting your Plytix PIM Data

Learn how to use Plytix features to protect your product information

Navigating product information management means juggling confidential data, especially in the dynamic landscape of cross-team collaborations and varied PIM usage scenarios. This is why safeguarding your information is a top priority — and that involves not only setting access permissions but also having a solid backup in place. Here are some tips we have gathered to help you protect your PIM using Plytix features.  

 


 

Edit permission rights for different team roles

Plytix is a great collaboration tool for your team. One of the reasons why is due to the customization of team roles and personalized permissions assigned to each. 

In Plytix, you can create as many roles as you want and customize their level of access to your PIM — on elements ranging from import options and settings, to assets and outputs. 

Through this feature, you can specify whether a role has the ability to only view or edit something, or – for some elements – neither! This ensures that you have the ability to carefully select which data you want to disclose to select members of your team according to their role and work in the PIM.

Enable password protection for your Brand Portal

Brand Portals (also known as e-catalogs) are a helpful feature both for internal and external use. Depending on who your Brand Portals are directed to, it may be helpful to limit their access by setting an extra layer of protection to prevent information from being accidentally shared. 

There are some examples for which password protection may be useful. Maybe you’re still setting up your e-catalog and want to make sure it’s up and running before customers have access to it, or you’re creating specified Brand Portals for certain teams in your company to work around. Whatever the case, securing your Brand Portal through password protection is always an option. 

When your Brand Portal is password-protected, visitors who access your e-catalog’s URL, will see this message pop up:

Create a backup of your data

This is probably one of the most important measures you can take to prevent losing your product information — yet, it is one that is often overlooked. 

In Plytix, you can generate a backup of your data by setting up a channel and connecting it to a Dropbox or FTP connection. The Channels feature allows you to enable automatic updates by setting up  scheduled processing, so you can customize it based on how often you’d like the backup to be generated. 

Avoid deleting products

Once a product is deleted in Plytix, it cannot be automatically recovered. This is why it is important to ensure that any information you delete is done intentionally. 

We highly recommend that you archive a product if you are unsure whether it needs to be deleted or not. You can do so by changing a product’s status.

Set asset privacy

Since you can also use Plytix as a DAM (Digital Asset Management), it is very likely that you may be storing internal assets as part of your files. If this is the case, you can prevent the asset URL from being found through search engines by setting an asset to “Private”. If you are okay with an asset showing up in search engines, set it to “Public” again. 

You can set an asset’s privacy directly on the Assets Overview page or in an asset’s detail page
